Booster Descriptions

Band Booster Executive Board Officers and Their Duties

President 1. Coordinates all of the activities of the organization. 2. Within one month after taking office, appoints all committee chairpersons with the advice and consent of the Executive Board. Vacated positions shall be filled within one month. 3. Is an ex-officio member of all committees, except the nomination committee. 4. Chairs all meetings of the membership. 5. May co-sign checks drawn on bank accounts of the organization along with the Treasurer. 6. Shall be covered by the fidelity bond with sufficient limits to cover the exposure. This bond shall be paid by the organization. 7. Shall have a vote only in order to break a tie vote of the executive board.

Vice-President 1. Acts as a parliamentarian and rules on any procedural disputes. 2. Chairs all meetings of the membership in the absence of the President. 3. Assists the President in coordinating the activities of the Booster program. 4. May co-sign checks drawn on bank accounts of the organization along with the Treasurer. 5. Shall be covered by the fidelity bond with sufficient limits to cover the exposure. This bond shall be paid by the organization. 6. Acts as President in the absence of the President.

Secretary 1. Keeps the minutes of meetings in a yearly record book and reports minutes of each meeting when called on in the Order of Business. Provides the members on the Executive Board, and the Principal with a copy of the minutes of each meeting in a timely manner. 2. Assists the President and Vice-President with all correspondence necessary in conducting Booster Business.

Treasurer 1. Collects and deposits all monies of the organization in bank accounts designated by the Executive Board and maintains accurate accounting records, which shall be audited bi-annually by the audit committee. 2. Monitors budget versus actual expenses and reports to the general membership at monthly meetings. 3. Presents monthly financial reports to the general membership which show bank account balances, detail of income and expenditure by budget category versus approved budget 4. Must co-sign checks drawn on bank account of the organization along with the President or Vice-President. 5. Shall be covered by the fidelity bond with sufficient limits to cover the exposure. This bond shall be paid by the organization. 6. Is an ex-officio member of all committees, except the nomination committee. 7. Prepares Annual Statement of Account and presents copies to the membership and school board. Keeps accurate records of student accounts and makes available individual statements for student accounts on a regular basis and/or upon request. Trains the Assistant Treasurer in duties of the office. Prepares and submits annual report to the school board. Prepares and submits annual tax return to the IRS. Performs all other duties usual to the office.

Assistant Treasurer - May succeed the Treasurer after adequate training. May co-sign checks drawn on band accounts of the organization along with the President or Vice-President when acting as treasurer. Shall be covered by the fidelity bond with sufficient limits to cover the exposure. This bond shall be paid by the organization. Presents reports in absence of the Treasurer at meeting of the general membership. Assistant Treasurer acts as Treasurer in the absence of the Treasurer.

Member at Large - There are 5 Member at large positions on the Executive Board. Members at large may chair committees.

Standing Committees:

Ways and Means Committee - Shall plan and implement fundraising projects and programs to supply the needs of the organization. Earmarking of the proceeds of each fundraising activity will be announced to the General membership prior to the activity. Shall keep accurate records of each fundraising activity including record of profitability.

Uniform Committee - Shall assist band members during the donning of uniforms. Inspects all uniforms as needed to insure proper care and maintenance.

Historian/Publicity Committee - Shall keep an accurate record of the history of the bands of North Oldham High School and this organization and shall maintain a scrapbook to supplement this history. Shall publicize as widely as possible the various programs of the bands and this organization.

Membership/Telephone Committee - Shall endeavor to expand the membership of this organization to its fullest and to secure full attendance at all meetings. Keeps membership roster up to date and records attendance at each meeting. I.e. the names of each officer present and the number of members in attendance. Provide new members with informational packets and organize a new member orientation meeting. Shall set up a telephone tree to call members on every item deemed necessary by the Executive Board or Band Director/Assist Band Director in distributing information to the Middle Schools and students new to the district for recruitment.

Hospitality/Spirit Committee - Shall be responsible for all social functions of the organization and the bands. Shall be responsible for the delivery of appropriate greetings, i.e. cards or flowers to the sick. Shall be responsible for spirit related functions of the organization, including: “spirit” support to the band students, i.e. decorations for busses, events, etc.

Pit and Prop Crew Committee - Responsible for assisting the marching band on and off the field. Builds and repairs props.

Audit Committee - Reviews Treasurer’s monthly budget versus actual expenditure report. Conducts bi-annual audits of the books or at anytime deemed necessary by the executive board.
