PRINCIPAL’S REPORT:  DAN ROTELLA

•	MR. ROTELLA THANKED MANY FOR THEIR EFFORTS ON NUMEROUS ITEMS:  
DIRECTORIES, T-SHIRTS FOR CATCH THE SPIRIT, AND ST. MATTHEW STICKERS FOR 
CHILDREN CAUGHT DOING SOMETHING “HONORABLE”.
•	MR. ROTELLA MET WITH DESALES REGARDING THE OHIO GRADUATION TEST.  
THIS TEST IS TAKEN IN THE FALL OF STUDENTS’ SOPHOMORE YEAR.  RESULTS WERE 
SHARED FOR THE LAST 6 YEARS (82 STUDENTS FROM ST. MATTHEW’S SCHOOL FROM 2005 –
 2010 TESTED WITH 5 SUBTESTS).  THE STUDENTS PASSED ALL BUT 6 SUBTESTS WITH 
AN OVERALL 98.5% PASS RATE.
•	THANK YOU LETTERS FOR THE MAIN EVENT DONATIONS WERE SHARED WITH MR. 
ROTELLA AND MRS. MICHALEC.  THEY WERE IMPRESSED WITH THESE LETTERS WRITTEN BY 
STUDENTS.
•	JEANS DAY FOR GATHERING MONEY FOR THE CRAFT BAZAAR BASKET RAFFLE IS 
YET TO BE DETERMINED.
•	REMINDER THAT THE TERRA NOVA TESTS WILL BE ISSUED TO ALL STUDENTS THE 
WEEK OF 10/18/10.
•	OUR NEXT CATCH THE SPIRIT DAY WILL TAKE PLACE ON FRIDAY, NOVEMBER 5, 
2010.  ONE OF THE GAHANNA FOOTBALL COACHES WILL BE SPEAKING AT THIS EVENT.
•	MR. ROTELLA AND MRS. MICHALEC WILL BE ATTENDING THE DIOCESE 
FUNDRAISER THAT WILL TAKE PLACE ON TUESDAY, NOVEMBER 9, 2010 AT 6 PM.

•	TERESA MENTIONED THE CLASSROOMS ARE ALL GETTING READY FOR THE 
HALLOWEEN PARTIES SCHEDULED FOR THURSDAY, OCTOBER, 28, 2010.  
•	STUDENT COUNCIL WILL HAVE A CONTEST FOR THOSE DRESSING UP IN THEIR 
FAVORITE SAINT COSTUME.

THE PROFIT FROM THE MAIN EVENT RATHER THAN OUR HOSPITALITY BUDGET.

MUSTANG TECHNOLOGY
•	MR. FRAZIER CONTINUES TO WORK ON THIS AND IS LOOKING AT A COUPLE 
DIFFERENT SYSTEMS (INCLUDING A PA SYSTEM FOR THE SCHOOL). 

TECHNOLOGY
•	WE WILL NOW HAVE 35 WORKING LAPTOP COMPUTERS FOR THE STUDENTS. 


NEW BUSINESS.GUEST SPEAKERS

MARY PANCAKE – ONE OF THE 2010 MAIN EVENT CHAIRS
•	DONATIONS LOOK GOOD.
•	TSHIRTS ARE AVAILABLE FOR $15.
•	CASH FOR CAUSE WILL BE ONE OF THE NEW LIVE AUCTION ITEMS.
•	FINALIZING THE PROGRAMS.
•	VOLUNTEERS NEEDED FOR BABYSITTING FOR SETUP ON FRIDAY, OCTOBER, 29, 
2010 AND THE MAIN EVENT ON SATURDAY, OCTOBER 30, 2010.  ANYONE INTERESTED 
NEEDS TO GET THEIR NAMES TO LAURIE STEELE.

•	THE CHRISTMAS BAZAAR WILL TAKE PLACE ON SATURDAY, NOVEMBER 13, 2010 
FROM 9 TO 3 PM. 
•	LOOKING FOR 8TH GRADE VOLUNTEERS
•	WE WILL HAVE APPROXIMATELY 100 VENDORS
•	DETAILS SURROUNDING THE HOMETOWN CAFÉ, BAKE SALE, AND COMMUNICATIONS 
(INCLUDING SIGNS OU T AT VARIOUS LOCATIONS) WERE DISCUSSED.  
•	WE WILL NO LONGER HAVE A CHINESE RAFFLE.  THIS WILL BE REPLACED WITH 
A GRADE BASKET RAFFLE.  STUDENTS ARE ENCOURAGED TO BRING IN CHANGE TO PUT 
TOWARDS THESE BASKETS.  THOSE GRADES WITH 75% PARTICIPATION WILL EARN A JEANS 
DAY.  THE JEANS DAY WILL BE DETERMINED BY MR. ROTELLA.

•	THE SCHOOL OFFICE REOPENS ON WEDNESDAY, AUGUST 11, 2010 IN 
PREPARATION FOR THE UPCOMING 2010-2011 SCHOOLYEAR.
•	OUR BACK-TO-SCHOOL PACKETS INCLUDED A LETTER FROM MR. ROTELLA TO ALL 
FAMILIES.  THE THEME FOR THIS YEAR IS “HONOR.”  THIS WORD IS USED IN MANY 
WAYS AND WILL BE CARRIED THROUGHOUT THE SCHOOLYEAR. 


VICE-PRINCIPAL'S REPORT:  FRANCES MICHALEC

•	OUR FIRST “CATCH THE SPIRIT” WILL TAKE PLACE ON FRIDAY, SEPTEMBER 24, 
2010 AT 1 PM.  H&S WILL PROVIDE POPSICLES AS THE SNACK FOR THAT DAY.
•	OUR STAFF’S FIRST FACULTY MEETING WILL TAKE PLACE ON THURSDAY, AUGUST 
19, 2010.  FRANCES WILL CONFIRM AND LET US KNOW IF OUR MANNA IN THE MORNING 
PROGRAM WILL CONTINUE TO TAKE PLACE.  
•	THE ART TEACHER AT HOLY SPIRIT DIED UNEXPECTEDLY.  FRANCES WILL 
CONTACT THE PRINCIPAL AT HOLY SPIRIT AND LET US KNOW HOW WE CAN HELP THEM 
DURING THIS DIFFICULT TIME.

•	THEY ARE IN THE PROCESS OF FINALIZING THE ROOM PARENTS’ LISTS FOR 
EACH CLASSROOM.

AT 6:30 PM IN THE HUTTA GYM.  
•	DISCUSSIONS TOOK PLACE REGARDING HALLOWEEN PARTIES FOR EACH 
CLASSROOM.  


HOSPITALITY:  JENNIFER NORDMOE, CYNTHIA FRANZMAN, AND BRIT RAMSEY 

•	FIRST CONFERENCES ARE SCHEDULED FOR MONDAY, NOVEMBER 8, 2010 AND 
THURSDAY, NOVEMBER 18, 2010. H&S WILL PROVIDE APPETIZERS FOR THE CONFERENCE 
ON EARLY DISMISSAL AND DINNER FOR THE EVENING CONFERENCE.  
•	MENTOR FAMILY DAY WILL TAKE PLACE ON TUESDAY, AUGUST 24, 2010.  H&S 
WILL PURCHASE COOKIES AND WATER FOR THIS DAY.

•	KELLEY DISTRIBUTED AN UPDATED BUDGET  AND POINTED OUT THE FOLLOWING 
ITEMS;
•	ALMOST ALL IS FINAL FOR THE LAST SCHOOLYEAR ENDING JUNE 30, 2010.
2010 ADVANCE SALE FOR BAZAAR BOOTHS:  THIS IS A TIMING ISSUE SINCE RESERVING 
THE BOOTHS IS NOW HANDLED DIFFERENTLY.
BOX TOPS:  FAVORABLE TO BUDGET.  THIS DOUBLED FROM LAST YEAR.
ARTISTS IN THE SCHOOL:  WE UNDER SPENT THIS BECAUSE IN THE PAST YEARS WE HAD 
ARTISTS COME IN ON THE LAST DAY OF SCHOOL FOR K-4.  THIS PAST YEAR LINDA 
STRAPP DID A PHENOMENAL JOB OF BRINGING IN VOLUNTEERS TO RUN GAMES AND 
ACTIVITES INSTEAD OF HAVING THE ARTISTS.  THIS EVENT WAS FAVORABLE, LOTS OF 
FUN, AND CHEAP. 
CLASSROOM EQUIPMENT AND TECHNOLOGY:  STARTED TREATING THESE TWO CATEGORIES AS 
ONE.  
FIELD TRIPS:  WILL NEED TO LOOK AT THIS AND MAKE SURE THAT ALL CLASSROOMS 
RECEIVE SOME ASSISTANCE FROM THIS CATEGORY.
HOSPITALITY:  RIGHT ON BUDGET FOR THE ACTIVITIES WE HAD PLANNED FOR (OPEN 
HOUSE REFRESHMENTS, PARENT/TEACHER CONFERENCE REFRESHMENTS, AND THE TEACHER 
LUNCHEON).  WE ENDED UP PAYING FOR THE GRANDPARENT BREAKFAST, CATHOLIC 
SCHOOLS WEEK PRAYER BREAKFAST AND THE PRINCIPAL SEARCH MEETING REFRESHMENTS.  
WE DID NOT ANTICIPATE THESE ACTIVITIES WHEN WE SET THE ORIGINAL BUDGET.  
THESE EXPENSES WERE PLACED IN THIS CATEGORY TO SEE WHAT WAS SPENT AND WILL 
DECIDE IF WE WANT TO BUDGET/PAY FOR THOSE NEXT YEAR.
LAST DAY OF SCHOOL:  DISCUSSIONS WILL CONTINUE TO TAKE PLACE AS WE MOVE INTO 
THIS NEW SCHOOLYEAR.   

ADDITIONAL CLARIFICATION WAS PROVIDED FOR:
TRANSPORTATION:  THIS MONEY WAS USED FOR THE CHILLER FIELD TRIP AND THE 
JUNIOR ACHIEVEMENT BIZTOWN. 
WE NEED TO MAKE SURE OUR STAFF IS NOT PAYING FOR ITEMS USED IN THEIR 
CLASSROOM WITH THEIR OWN MONEY.  OUR “INSTRUCTIONAL AIDS” CATEGORY WILL 
HELP.  

KELLEY INTRODUCED KERRY EVERHART.  KERRY IS THE TREASURER THIS YEAR 
(2010/2011) AND NEXT YEAR (2011/2012).  SOMEONE WILL TAKE KELLEY TREON’S 
PLACE AS ASSISTANT TREASURER NEXT YEAR (2011/2012). THIS PERSON WILL BE 
TREASURER FOR 2012/2013 AND 2013/2014.  KELLEY AND KERRY ARE GOING TO IRON 
OUT WHO THE TREASURER WILL BE FOR 2012/2013 AND 2013/2014.  IT MIGHT BE DEB 
SCHUMACHER OR NICKI BOWEN.  KELLEY/KERRY WILL PROVIDE US WITH AN UPDATE AT 
OUR NEXT MEETING. 

REQUESTS FOR REIMBURSEMENT WILL BE ISSUED ON FRIDAYS OF EACH WEEK.  
REIMBURSEMENT REQUESTS SHOULD BE SENT TO KERRY EVERHART, C/O RICKY 1M BY 
WEDNESDAY OF THAT WEEK.


COMMUNICATIONS:  JENNIFER PRICE

•	JENNIFER PRICE IS NEW TO H&S THIS YEAR AND HAD HER FIRST MEETING WITH 
MR. ROTELLA.
•	JEN WILL BE REACHING OUT TO THE MEDIA TO PROMOTE ST. MATTHEW’S EVENTS 
ON A MONTHLY BASIS.
•	SHE WILL REACH OUT TO NORMA HORAN, OUR DIOCESIAN CONTACT FOR THE 
CATHOLIC TIMES PAPER.  
•	DISCUSSIONS TOOK PLACE REGARDING SURVEYS (PARENTS’ LIKES/DISLIKES, 
ETC.).  WE WILL CONTINUE TO TALK ABOUT THIS IN FUTURE MEETINGS.  


MEMBERSHIP:  CHRISTIE ALLOTO
		
•	CHRISTIE WILL BEGIN HANDLING OUR SCHOOL DIRECTORY FOR THIS YEAR.  
DISCUSSIONS TOOK PLACE REGARDING THIS TOPIC. 
•	SHE WILL ALSO BE RESPONSIBLE FOR BOX TOPS, STORY TIME, AND THE 
VOLUNTEER FORMS THAT ALL FAMILIES RECEIVED IN THEIR WELCOME PACKET.

•	MENTOR FAMILIES:  MOST OF OUR NEW FAMILIES WILL HAVE CHILDREN 
ENTERING KINDERGARTEN.  
•	JILL PROPOSED A CHANGE FOR THE HANDLING OF OUR CURRENT MENTOR FAMILY 
PROGRAM FOR FUTURE YEARS:  MENTORS MEETING WITH KINDERGARTEN FAMILIES WILL 
MEET WITH THEM AFTER OUR KINDERGARTEN MEETING NIGHT AND ALL OTHER FAMILIES 
WILL MEET AT OUR OPEN HOUSE.   
•	THIS SHOULD HELP TO ELIMINATE SOME OF THE CONFUSION WE’VE NOTICED IN 
THE PAST.   WE’LL NEED TO FINALIZE DISCUSSIONS ON THIS TOPIC AT OUR NEXT 
MEETING.

•	THE LAST DAY OF SCHOOL WAS WELL RECEIVED.  NEXT YEAR WE WILL WANT TO 
CONSIDER ADDING A ROTATION TO ALLOW THE TEACHING STAFF TIME TO SPEND WITH 
THEIR STUDENTS. 

HOME AND SCHOOL FUNDS
•	DISCUSSIONS TOOK PLACE REGARDING THIS TOPIC.  
•	WE NEED TO CONTINUE MEETING WITH MR. ROTELLA, FR. SILL, AND OTHERS 
REGARDING OUR BUILDING (PLAYGROUND, ROOF FOR THE SCHOOL, AND OUR HUTTA GYM).  
ONE ITEM TO NOTE:  SOME MONEY SHOULD BE SET ASIDE FOR OUR STUDENTS THAT 
ATTEND ST. MATTHEW’S SCHOOL.

SCHOOL SUPPLY SALE
•	LAURIE STEELE WILL HANDLE OUR SCHOOL SUPPLY SALE NEXT YEAR SINCE SHE 
WILL NO LONGER BE OUR PRESIDENT OF H&S.  WE DID HAVE A PROFIT OVERALL THIS 
YEAR.

•	THERE ARE 3 CELEBRATIONS IN THE PLANNING STAGES:  1. THERE WILL BE A 
ST. MATTHEW PARISH/SCHOOL RECEPTION ON SUNDAY, JUNE 6TH IN THE HUTTA GYM FROM 
2:00 TO 4:00 PM.  2. THERE WILL BE A STAFF/RECTORY CELEBRATION ON SATURDAY, 
MAY 22ND.  3. WE WILL HONOR CAROLE AT THE COMMISSIONING SERVICE ON JUNE 2ND.
•	FRANCES WILL CONTINUE TO WORK WITH MARY THOMPSON AND THE HOME AND 
SCHOOL ASSOCIATION REGARDING THE ST. MATTHEW PARISH/SCHOOL RECEPTION.  MARY 
THOMPSON IS GOING TO LOOK AT THE PARISH DATABASE AND WILL BE SURE TO INCLUDE 
FORMER FAMILIES AND STUDENTS TO THIS RECEPTION.   IT WOULD BE NICE TO HAVE 
STAFF HELP AT THIS RECEPTION, BUT WILL REALLY NEED ADDITIONAL ASSISTANCE AT 
THE STAFF CELEBRATION ON MAY 22ND.  SPOUSES WOULD BE INCLUDED IN THIS 
CELEBRATION.
•	IN HONORING CAROLE AT THE COMMISSIONING CEREMONY ON JUNE 2ND, FRANCES 
HAS A COUPLE IDEAS.  AFTER EASTER BREAK, SHE WILL SEND OUT A LETTER VIA 
KIDMAIL INFORMING PARENTS OF THE UPCOMING EVENTS AND ASKING PARENTS IF THEY 
WOULD LIKE TO MAKE A MONETARY GIFT TO CAROLE FOR HER YEARS OF SERVICE.  THIS 
WOULD BE A SURPRISE.  FRANCES HAS TALKED TO SALLY REGARDING THE LOGISTICS OF 
COLLECTION MONEY WITHOUT CAROLE KNOWING ABOUT THIS. 
•	CAROLE IS A REGULAR LISTENER OF THE NATIONAL PUBLIC RADIO (NPR).  
THERE IS A PROGRAM ON NPR CALLED STORYCORPS.  STORYCORPS IS A NATIONAL 
PROJECT THAT INTERVIEWS PEOPLE AND THEN THE INTERVIEWS ARE ARCHIVED AT THE 
LIBRARY OF CONGRESS IN WASHINGTON, D.C.  EACH INTERVIEW IS GIVEN AN NUMBER SO 
THAT FUTURE GENERATIONS CAN LISTEN TO THE HISTORICAL RECORDINGS.  ON 
OCCASION, CAROLE HAS COMMENTED ON THE PROGRAM.  FRANCES’S THOUGHT IS TO ASK 
STUDENTS AND STAFF TO FORMULATE QUESTIONS THAT THEY WOULD LIKE CAROLE TO 
ANSWER.  IT WOULD BE NICE TARGET 5 QUESTIONS PER GRADE AND INDIVIDUAL STAFF 
QUESTIONS.  CAROLE WOULD BE GIVEN THE LIST OF ALL QUESTIONS AND WOULD BE ABLE 
TO CHOOSE THE ONES SHE WOULD LIKE TO ANSWER.  THE RECORDING LASTS 45 MINUTES 
LONG.  THIS AGAIN WOULD BE A SURPRISE.  
•	IT WOULD BE NICE TO GIVE CAROLE SOME SCHOOL/CLASS PROJECTS AT THE 
COMMISSIONING SERVICE.  FRANCES WOULD LIKE TO HAVE THE PLAQUE IN THE FRONT 
HALL ENGRAVED AND PRESENTED TO HER AT THAT TIME.
•	THESE ARE ONLY A FEW IDEAS.  FRANCES WOULD LIKE TO COLLECT NAMES OF 
THOSE INDIVIDUALS THAT WOULD BE WILLING TO WORK WITH HER IN PREPARING FOR 
CAROLE’S RETIREMENT CELEBRATION.  SHE WILL CONTINUE TO KEEP ALL UPDATED ON 
PROGRESS.

•	ATTACHED IS KELLEY’S UPDATED BUDGET AND SHE WOULD LIKE TO POINT OUT 
THE FOLLOWING ITEMS:

WE RECEIVED DR. HUTTA’S MAIN EVENT DONATION OF $4,000.  THE LAST SIGNIFICANT 
EXPENSE IS THE COST OF THE LAS VEGAS TRIP WHICH SHOULD BE APPROXIMATELY 
$3,000.

KELLEY SPOKE TO JOYCE MILLER-EVANS.  THERE WILL NOT BE ANY ADVANCE TABLE 
RENTALS FOR THE 2010 BAZAAR.  THEY ARE GOING TO TRY ONLINE REGISTRATIONS THIS 
YEAR.  THE $3,000 BUDGETED FOR THIS SCHOOL YEAR IS EXPECTED TO COME NEXT YEAR 
INSTEAD.

KELLEY HAS ADDED A NEW LINE ITEM TO OUR BUDGET FOR THE LATCHKEY 
IMPROVEMENTS.  SO FAR, THEY HAVE SPENT $922 (NEW AREA CARPETS, CRAFTS, GAMES, 
SUPPLIES) OF THE $2,000 THAT WAS APPROVED.

WE HAVE SPENT THE TECHNOLOGY BUDGET AND HAVE GONE A LITTLE BIT OVER.  SOME OF 
WHAT HAS BEEN CATEGORIZED AS TECHNOLOGY COULD BE RECLASSIFIED AS CLASSROOM 
EQUIPMENT, SUCH AS THE SMART BOARDS OR PROJECTORS.  BETWEEN THE TWO BUDGET 
CATEGORIES, WE HAVE ENOUGH FUNDS TO COVER THIS YEARS’ SPENDING.

OUR CURRENT CASH BALANCE IS $105,447.  ASSUMING WE SPEND ALL OF THE REMAINING 
EXPENSES WE HAVE BUDGETED FOR THIS SCHOOL YEAR, WE WILL HAVE ABOUT $64,000 
LEFT OVER.  WE COULD COMFORTABLY COMMIT TO AT LEAST $40,000 TO THE HUTTA 
RENOVATION.  DISCUSSIONS WILL NEED TO CONTINUE WITH CAROLE.

•	UPDATE ON THE H1N1 CLINIC:  WE HAVE 30 RESPONDENTS AT THIS TIME.  
THERE IS NO CHARGE FOR THIS VACCINE, AND IT IS BEING OFFERED TO FAMILIES THAT 
ATTEND ST. MATTHEWS SCHOOL.  FORMS NEED TO BE COMPLETED AND RETURNED BY 
THURSDAY, JANUARY 14, 2010.  CHILDREN UNDER AGE 10 CAN RECEIVE A SECOND 
VACCINE IF IT HAS BEEN MORE THAN 28 DAYS SINCE THEY RECEIVED THEIR FIRST H1N1 
VACCINE.  

•	NEW TECHNOLOGY WAS ORDERED BEFORE CHRISTMAS BREAK.  THIS INCLUDES 
PROJECTORS, DOCUMENT CAMERAS, AND SMART BOARDS.  WE WILL HAVE NO PROBLEM 
HITTING OUR TECHNOLOGY BUDGET THIS YEAR.

•	OUR NEXT CATCH THE SPIRIT DAY WILL TAKE PLACE ON FEBRUARY 16, 2010.  
CUPCAKES WITH BABIES IN THEM HAVE BEEN REQUESTED AGAIN THIS YEAR.  EACH CATCH 
THE SPIRIT FAMILY HAS 22 PER GROUP WITH ONE TEACHER.  THERE ARE A TOTAL OF 27 
FAMILIES THIS YEAR.   OUR ROOM PARENT REPRESENTATIVES WERE OK WITH THIS 
REQUEST.

•	KELLEY DISTRIBUTED AN UPDATED BUDGET AND POINTED OUT THE FOLLOWING 
ITEMS;
EZ MONEY:  THIS ITEM INCLUDES VARIOUS PROGRAMS (IE. KROGER, GIANT EAGLE, ETC.)
CHRISTMAS BAZAAR:  WE DID GREAT THIS YEAR.  WE MADE APPROXIMATELY $14,349.  
TABLE RESERVATIONS CERTAINLY HELPED INCREASE OUR PROFIT FROM PRIOR YEARS.  
SOME VENDORS HAVE ALREADY PAID FOR NEXT YEAR’S BAZAAR TO GET THEIR LOCATION 
AS WELL AS A DISCOUNT.  
DISCUSSIONS TOOK PLACE REGARDING VENDORS HAVING THE OPTION TO PAY FOR NEXT 
YEAR’S BOOTH ONLINE.  
BANK CHARGES : BANK SERVICE CHARGES – THERE IS A $35 MONTHLY FEE DUE TO OUR 
OLD CREDIT CARD PROCESSING THROUGH HUNTINGTON AS A RESULT OF LAST YEAR’S MAIN 
EVENT.  THIS WAS A TWO YEAR CONTRACT.  IT’S CHEAPER TO CONTINUE PAYING THE 
$35 MONTHLY FEE FOR 1 YEAR RATHER THAN PAY A $500 CANCELLATION FEE.  THIS 
MONTHLY FEE WILL END NEXT SEPTEMBER 2010. 
SOUND SYSTEM: WE STILL OWE SOME MONEY ON THIS, BUT KELLEY IS WAITING TO HEAR 
BACK FROM MR. FRAZIER REGARDING THIS SYSTEM. 
TECHNOLOGY:  UTILIZING OUR BUDGET AS CAROLE MENTIONED EARLIER DURING THIS 
MEETING.  WE WILL EXCEED OUR BUDGET SOME THIS YEAR.

TODAY TO SPLIT THIS AMOUNT 50/50.  $450 WILL BE GIVEN TO EACH GROUP.


HUTTA GYM RENOVATION IDEAS
•	LAURIE RECENTLY FOUND OUT THAT FR. NOBLE HAS A VISION FOR WHAT HE 
WOULD LIKE TO SEE TAKE PLACE WITH THE HUTTA GYM AS FAR AS RENOVATIONS.  THIS 
WAS PART OF THE LONG GENERATIONS PLANNING. .  HE WOULD LIKE IT TO BE MORE 
LIKE A CAFETERIA THAN A GYM. THE SCHOOL IS CHURCH PROPERTY.
•	DISCUSSIONS AND SOME IDEAS WERE PASSED AROUND REGARDING FUTURE 
RENOVATIONS TO THE HUTTA GYM.  THIS PROJECT IS REALLY LIKE A MARKETING PLAN.  
IT WOULD BE NICE TO HAVE AN ARCHITECT MEET WITH FR. NOBLE, H&S, AND ALL 
GROUPS THAT UTILIZE THE HUTTA GYM.  FROM THERE, MOVE FORWARD WITH CHANGES.  
CONSIDER THIS A 5 YEAR PLAN.  THIS CERTAINLY SHOWS COMMITMENT TO THE PARISH 
AND SCHOOL.  LAURIE WILL FOLLOW UP WITH FR. NOBLE.


NEW BUSINESS
KROGER PROGRAM  
•	CAROLE SPOKE TO A COUPLE OTHER SCHOOLS AND FOUND OUT THEY PARTICIPATE 
IN THE KROGER COMMUNITY REWARDS PROGRAM.  THIS PROGRAM IS BASED ON A % THAT 
WILL COME BACK TO THE SCHOOL.  DISCUSSIONS TOOK PLACE ABOUT FAMILES 
PARTICIPATING BEING ABLE TO USE THIS MONEY TOWARDS THEIR CHILD/CHILDREN’S 
TUITION.  CAROLE WILL CHECK FURTHER WITH HOLY SPIRIT AND FRANCES WILL CHECK 
WITH ST. PAULS REGARDING ADDITIONAL DETAILS REGARDING THIS PROGRAM.

BULLYING PROGRAM
•	HEATHER MCKAY SENT AN EMAIL TO LAURIE STEELE REGARDING THIS TOPIC.  
ST PIUS AND ST. TIM’S PARTICIPATE IN THIS PROGRM AND WERE WONDERING IF THERE 
WAS ANY INTEREST FROM OUR SCHOOL.  APPEARS THE GENTLEMAN THAT RUNS THIS 
PROGRAM HAS SPOKEN AT ST. MATTHEWS IN THE PAST.  

LATCHKEY FUNDS
•	MRS. CAMPBELL WAS VERY APPRECIATIVE OF THE $2,000 H&S GAVE TO 
LATCHKEY AND WANTED TO THANK EVERYONE FOR THEIR GENEROSITY.  

GAHANNA SWIM CLUB
•	CYNTHIA WONDERED IF ANYONE WOULD BE INTERESTED IN A ST. MATTHEW POOL 
DAY ON AUGUST 12, 2010.  IF H&S DONATED $350 THE GAHANNA POOL STAFF WOULD 
ALLOW UP TO 250 PEOPLE IN FREE THAT WERE NOT MEMBERS.  
•	DISCUSSIONS WILL CONTINUE ON THIS TOPIC AND MAY WANT TO CONSIDER JULY 
VS AUGUST.  IN ADDITION, KELLEY TREON DISCUSSED WHAT HAS BEEN DONE IN THE

FATHER DAUGHER DANCE
•	THE FATHER DAUGHTER DANCE IS COMING UP ON SATURDAY, FEBRUARY 20, 
2010.  THIS DANCE WILL BE OPEN TO ALL GIRLS AT THE SCHOOL REGARDLESS OF WHICH 
GRADE THEY ARE IN.

•	WE ARE NEARING THE END OF THE 1ST GRADING PERIOD.  REPORT CARDS WILL

•	STAFF AND ALL ARE DOUBLING THEIR EFFORTS REGARDING H1N1.  ST. 
MATTHEW’S HAS REPORTED LOW ABSENTISM BUT HAS NOTICED CHILDREN ARE STAYING OUT 
LONGER.   CALLS ARE COMING INTO THE SCHOOL REGARDING THE H1N1 VACCINE.  MRS. 
MORTON AND OTHERS WILL KEEP ALL POSTED ON THE PROGRESS/ACCESS OF THIS 
VACCINE.  

•	HALLOWEEN PARTIES WILL TAKE PLACE IN THE CLASSROOMS ON FRIDAY, 
OCTOBER 30, 2009.  IT’S RECOMMENDED THAT ALL TREATS ARE INDIVIDUALLY 
WRAPPED.  

•	ALL SHOULD KEEP THE HOLY SPIRIT FAMILY IN YOUR PRAYERS REGARDING THE 
8TH GRADE STUDENT THAT RECENTLY PASSED AWAY.  SEVERAL WENT FROM ST. MATTHEWS, 
INCLUDING 8TH GRADERS WHO PLAYED FOOTBALL WITH THIS STUDENT.  ST. MATTHEW’S 
SCHOOL, AS WELL AS SOME ST. MATTHEWS’ FAMILIES PROVIDED BAGELS AND FOOD FOR 
LUNCH AS WELL.  

•	TERRA NOVA TESTING IS SCHEDULED FOR GRADES 3-8 DURING THE WEEK OF 
OCTOBER 19TH – 23RD, 2009.  RESULTS WILL COME BACK MID DECEMBER.

•	THE NEWSLETTER IS BEING SENT TO ALL FAMILIES VIA EMAIL.  
APPROXIMATELY ½ OF ALL FAMILIES ARE OPENING IT.  OTHER REMINDERS ARE SENT VIA 
GROUPS TO HOME EMAIL ADDRESSES AS WELL (I.E. 8TH GRADE PARENTS RE: 
CONFIRMATION, ETC).  THE NEWSLETTER IS STILL POSTED ON THE SCHOOL WEBSITE.

INNISBROOK IS DOWN FROM LAST YEAR.  MIGHT WANT TO RECONSIDER THIS FUNDRAISER 
FOR NEXT YEAR OR AT LEAST LOOK AT HOW IT WAS PROMOTED.  MAY WANT TO CONSIDER 
OTHER COMPANIES AS FUNDRAISING (I.E. CONSIDER MARKET DAY – THE ATHLETIC 
ASSOCIATION WOULD PICK UP ANOTHER ½ PERCENT).  DISCUSSIONS WILL NEED TO 
CONTINUE ON THIS TOPIC. 
DIRECTORIES: BETTER THAN BUDGET.  IT WAS LESS EXPENSIVE AND THE DIRECTORIES 
WERE BOUND PRINTING THEM IN 8X11 VS THE SMALLER SIZE AS DONE IN YEARS PAST.  
WE MAY WANT TO CONSIDER A CHAIR FOR THIS PROJECT NEXT YEAR.
SUPPLY SALE:  WE MADE APPROXIMATELY $4,900 FROM SUPPLIES AND THE NEW AND USED 
UNIFORMS.  WE DON’T HAVE THE BREAKOUT FOR THESE TWO ITEMS. WE WERE BUDGETED 
TO MAKE $4,300.
MAIN EVENT:  THE NEW CREDIT CARD SYSTEM WILL BE IN PLACE FOR THE MAIN

THE AMOUNT ST. MATTHEW’ PARENTS DONATE.  CAROLE WILL TALK TO THE PRINCIPAL AT 
HOLY SPIRIT.  THE HOME AND SCHOOL ASSOCIATION WILL CONSIDER DONATING $100.  
IN ADDITION, AS A RESULT OF THE MAIN EVENT/AUCTION, A PERCENT IS USUALLY 
DONATED TO CHARITY.  MAY WANT TO CONSIDER CONTRIBUTING TO THIS MEMORIAL FUND 
INSTEAD OF A CHARITY.  CAROLE WILL FOLLOW UP ON THIS AND KEEP US POSTED.

•	KRIC (BOSCO BASH/MIDDLE SCHOOL DANCE HOSTED BY ST. MATTHEW’S THIS

(JANUARY 23, 2010).  WE NEED TO CONSIDER RESCHEDULING THE FATHER/DAUGHTER 
DANCE TO FEBRUARY 20, 2010.  

•	MAIN EVENT AUCTION:  HOME AND SCHOOL HAS BEEN RESPONSIBLE FOR 
PROVIDING BREAKFAST AND LUNCH TO THOSE VOLUNTEERS THAT WILL BE AT THE SCHOOL 
ON FRIDAY, OCTOBER, 16, 2009.  FOOD WILL BE BROUGHT IN FROM PANERA.  THE 
AUCTION COMMITTEE/VOLUNTEERS WILL NEED TO CONSIDER FORMING THEIR OWN 
COMMITTEE FOR HOSPITALITY GOING FORWARD.  

•	MAIN EVENT AUCTION:  WE MAY CONSIDER RENTING TABLES IN FUTURE YEARS.  
THIS WILL ELIMINATE WEAR/TEAR, LABOR, AND ELEVATOR ISSUES WE HAVE ON OUR 
TABLES.  

•	FROM LINDA STRAPP:  SUE MACIOCE WOULD LIKE TO CHANGE THE END OF THE 
YEAR EVENTS.  WE NEED TO BRAINSTORM/TALK TO THE GYM TEACHERS TO SEE WHAT 
OTHER IDEAS CAN BE USED.  MIGHT WANT TO CONSIDER AN OLD FASION FIELD DAY, BUT 
NEED TO REMEMBER ADDITIONAL PARENT VOLUNTEERS MAY BE NEEDED FOR THIS SCHOOL

PRINCIPAL’S REPORT:  CAROLE MARSH

·	WE ARE OFF TO A GOOD START.  OUR ENROLLMENT FOR THE 2009-2010 
SCHOOLYEAR IS THE SAME AS LAST YEAR.


ASST. PRINCIPAL'S REPORT:  FRANCES MICHALEC

·	MANNA IN THE MORNING SHOULD BE DELIVERED TO THE NEWMAN CENTER AND NOT 
TO THE FRIENDS IN HOMELESS ON MAIN STREET.  ANY QUESTIONS REGARDING THE 
DELIVERY SHOULD BE DIRECTED TO BECKY SCHOTT.

·	CATCH THE SPIRIT – WE WILL USE THE PAC.  DONUTS (SNACKS, WATER, AND 
CUPS) WILL BE DELIVERED TO THE CLASSROOMS.   A COUPLE GROUPS WILL MEET IN THE 
PAC.  FIRST CATCH THE SPIRIT IS SCHEDULED FOR SEPTEMBER 17, 2009.  LAURIE 
WILL PICK UP DONUTS AND IS LOOKING FOR ANY H&S VOLUNTEERS TO MEET HER AT THE 
SCHOOL AT 8:30 AM THAT MORNING.  


TREASURER:  KELLEY TREON 

·	KELLEY DISTRIBUTED AN UPDATED BUDGET (YEAR TO DATE) AND THIS YEAR’S 
BUDGET.  KELLEY WILL NEED TO WRITE ANOTHER CHECK FOR THE NEW UNIFORMS.  WE 
ARE EXPECTING TO MAKE LESSAT THE MAIN EVENT THIS YEAR AS A RESULT OF THE 
ECONOMY.  
·	EXPENSE BUDGETS:  KELLEY USED LAST YEAR’S NUMBERS AS A GUIDE.  FIELD 
TRIPS ARE NEW THIS YEAR AS A RESULT OF THE ECONOMY.  WHEN TEACHERS ARE 
SENDING OUT INFORMATION REGARDING FIELD TRIPS, THEY SHOULD INCLUDE/THANK THE 
H&S FOR ASSISTING IN THE FUNDING OF THE TRIP.  

·	KELLEY WROTE A CHECK (DEPOSIT) FOR THE NEW SOUND SYSTEM.  THE TOTAL 
IS APPROXIMATELY $13,000.
·	MAIN EVENT:  KELLEY CONFIRMED OUR SCHOOL AS SIGNED UP FOR THE NEW 
CREDIT CARD SYSTEM.  BID SHEETS WILL BE PULLED EARLIER IN THE EVENING.  
KELLEY HAS BEEN WORKING CLOSELY WITH HEATHER MCKAY REGARDING THE TESTING OF 
THIS SYSTEM.  SHE IS LOOKING FOR H&S VOLUNTEERS TO ASSIST WITH CHECKOUT THE 
NIGHT OF THE MAIN EVENT. 
·	DEBBIE SHUMACHER WILL BE THE ASSISTANT TREASURER.  KELLEY WILL STAY 
ON AS TREASURER FOR ONE MORE YEAR SINCE DEBBIE WILL OVERSEE THE MAIN EVENT 
NEXT YEAR. 


COMMUNICATIONS:  CHRISTIE ALLOTO
		
·	CHRISTIE HAS RECEIVED APPROXIMATELY 125 FAMILY VOLUNTEER FORMS AND 
SENT SEVERAL OUT TO THE CHAIRS OF MANY EVENTS.  THOSE SENT OUT ARE 
INNISBROOK, CAFETERIA, MEDIA CENTER, PUBLISHING, STORY TIME, MAIN EVENT, AND 
THE CHRISTMAS BAZAAR.


HOSPITALITY:  JULIE YALE 

THE FIRST OPEN HOUSE (9/3) WENT REALLY WELL AND JULIE WAS LOOKING FOR 
VOLUNTEERS TO ASSIST WITH THE SECOND OPEN HOUSE SCHEDULED FOR THURSDAY, 
SEPTEMBER 10TH.  
NEXT YEAR THE H&S BOARD MIGHT WANT TO RETHINK HAVING COOKIES AT THE OPEN 
HOUSE.  WE MAY WANT TO CONSIDER DRINKS ONLY.  THERE SEEMS TO BE SEVERAL 
COOKIES LEFT OVER.  THIS YEAR EXCESS COOKIES WILL BE WRAPPED UP AND LINDA 
STRAPP WILL TAKE THEM TO THE RONALD MCDONALD HOUSE OR FRIENDS OF THE HOMELESS.


ROOM PARENTS:  LINDA STRAPP, TERESA OZARZAK, AND PAULA TRUDEAU

·	THE ROOM PARENT MEETING WILL TAKE PLACE ON 9/15/09 AT 6:30 PM IN THE 
HUTTA GYM.  THEY HAVE HEAD ROOM PARENTS LISTED FOR ALL CLASSROOMS.  
·	LAURIE STEELE WILL COORDINATE LINING UP BABYSITTERS FOR THAT EVENING 
AS WELL AS A MICROPHONE FOR LINDA AND OTHERS TO USE THAT NIGHT.

SOUND SYSTEM PROPOSAL

·	WE ARE STILL WORKING ON THIS PROPOSAL AND ARE HOPING TO HAVE THIS 
SYSTEM BY THE MAIN EVENT.   

NEW BUSINESS

·	DIRECTORIES – THIS YEAR THE DIRECTORIES WILL INCLUDE EMAIL ADDRESSES 
AND WILL BE PRINTED ON 8 ½ X 11 SIZE PAPER.  WE HAVE USED A NEW VENDOR THIS 
YEAR AND ALL DIRECTORIES SHOULD BE READY FOR DELIVERY SOON.
·	THE DRAWING FOR ARTWORK IS DUE ON FRIDAY, 9/11/09.  WE’D LIKE TO HAVE 
THE FRONT OFFICE STAFF AND MRS. MACIOCE VOTE ON THE WINNER(S).  
·	NEXT YEAR OUR GOAL IS TO HAVE THE SCHOOL DIRECTORY READY AND 
DELIVERED AT THE OPEN HOUSES.

·	INNISBROOK – ORDERS WENT OUT TODAY AND ORDERING WILL NEED TO BE DONE 
ONLINE THIS YEAR.  SUE MULLIGAN WILL HANDLE ORDERS FOR THOSE THAT ARE UNABLE 
TO PLACE THEIR ORDER ONLINE.

·	HOME AND SCHOOL BOARD MEMBER DUTIES – LAURIE WENT THROUGH THE LAST 10 
YEARS OF INFORMATION THAT SHE HAD AND IS IN THE PROCESS OF RETYPING BOARD 
MEMBER DUTIES. 

·	HOME AND SCHOOL MEETING DATES/TIMES – WE DISCUSSED CHANGING THE START 
TIME OF THESE MEETINGS.  FOR NOW, WE WILL CONSIDER ALTERNATING THE START 
TIMES BETWEEN 4 AND 7 PM.  OUR NEXT MEETING SCHEDULED FOR TUESDAY, OCTOBER 
13, 2009 WILL BEGIN AT 4 PM.

·	PARISH MINISTRY – LAURIE REPRESENTED THE H&S ASSOCIATION.  MATTHEW 
KELLY WAS A WONDERFUL SPEAKER (AT RESURRECTION IN FEBRUARY).  WE WILL WANT TO 
CONTINUE DISCUSSIONS SURROUNDING THIS SPEAKER.  LAURIE WOULD LIKE TO CONSIDER 
HAVING HIM COME TO ST. MATTHEWS AND SPEAK TO THE ADULTS AND 8TH GRADE 
STUDENTS SINCE THEY ARE MAKING THEIR CONFIRMATION.  WE WOULD CHARGE FOR 
ADULTS TO ATTEND.  

·	MINISTRY FAIR – THE NEXT MINISTRY FAIR IS SCHEDULED FOR SATURDAY, 
SEPTEMBER 19 AND SUNDAY, SEPTEMBER 20, 2009.  WE NEED A VOLUNTEER PRESENT AT 
OUR BOOTH AFTER EACH MASS.  WE WILL HAVE A COUPLE POSTERS AND/OR HANDOUTS AT 
THE TABLE TO SHOW WHAT THE H&S ASSOCIATION IS ALL ABOUT AND WHAT WE DO FOR 
OUR PARISHIONERS.

·	STAFF CHRISTMAS GIFTS – EILEEN BUZENSKI NOW SELLS $25 VISA GIFT 
CARDS.  THERE IS NO ACTIVATION FEE.  ALL BOARD MEMBERS PRESENT AGREED THAT WE 
WILL PURCHASE THESE CARDS FOR GIFTS THIS YEAR FOR STAFF.  

·	UPCOMING CALENDAR – REMINDER OF THE FOLLOWING:

	9/10 AT 7 PM:  OPEN HOUSE FOR GRADES K-4 IN THE HUTTA GYM
	     H&S WILL STAFF TABLES WITH H&S INFORMATION.
	9/17 AT 8:30 AM:  FIRST “CATCH THE SPIRIT” FAMILY DAY
9/19 AND 9/20:  MINISTRY FAIR IN THE HUTTA GYM.  WILL HAVE H&S MEMBERS STAFF 
THE TABLE AFTER EACH MASS.

THIS SCHOOL YEAR.  SHE STILL HAS ONE MORE CHECK TO WRITE CAROLE FOR LAST YEAR.
·	OVERALL, WE DID NET APPROXIMATELY $44,000 FOR LAST YEAR.
·	DUE TO THE FACT THAT WE HAVE “CARRY OVER” FUNDS IN EXCESS OF $70,000, 
WE NEED TO DISCUSS OUR GOALS AND PROJECTS FOR NEXT YEAR.

·	CHRISTIE WILL COLLECT THE VOLUNTEER FORMS THAT WERE INCLUDED IN THE 
FAMILY PACKETS AT THE START OF THE SCHOOL YEAR.

THE TEACHER APPRECIATION LUNCHEON WILL TAKE PLACE ON MAY 4TH.
OPEN HOUSES ARE SCHEDULED FOR THURSDAY, SEPTEMBER 3RD (5-8 GRADE) AND 
THURSDAY, SEPTEMBER 10TH (K-4).  ALL BOARD MEMBERS ARE ASKED TO BAKE TWO 
DOZEN COOKIES FOR EACH OPEN HOUSE.

·	LINDA AND OTHERS WILL MEET TO FINALIZE ALL DETAILS REGARDING ROOM

NEW PAYMENT SYSTEM FOR THE AUCTION

·	AFTER CHECKING WITH ST. PAUL’S, KELLEY TREON HAS CONFIRMED ST. PAUL’S 
IS VERY PLEASED WITH THIS NEW PAYMENT SYSTEM.  
·	OVERALL, THE COST FOR THIS NEW SYSTEM IS APPROXIMATELY $2,000.  
·	ALL BOARD MEMBERS PRESENT AT THIS MEETING WERE IN FAVOR OF GETTING 
THIS NEW PAYMENT SYSTEM.  KELLEY TREON WILL MEET WITH CAROLE MARSH TO OBTAIN 
HER APPROVAL .

SOUND SYSTEM AND WILL PROPOSE THAT WE PURCHASE THIS TO CAROLE MARSH.

·	DATES FOR THE SCHOOL SUPPLY SALE, MENTOR FAMILY GATHERING, MEET THE 
TEACHER, AND OPEN HOUSES WERE DISCUSSED.
·	MEETING DATES/TIMES FOR THE H&S MONTHLY BOARD MEETINGS WERE 
DISCUSSED.  OUR NEXT MEETING WILL TAKE PLACE ON TUESDAY, SEPTEMBER 8TH AT
