Policies

Sauk Prairie Community Recreation Department Policies
(Approved by the Recreation Commission Board in April 2008)

Sauk Prairie Community Recreation Department may assist with individual 
organizations in their fundraising efforts.  However, SPCRD will not be lead 
agency in fundraising or make donations on behalf of our entities.  SPCRD 
will not recommend or request that one organization be considered for a 
donation by a certain community.

Refund Policy

In the event an adult or youth individual, or a team requests to “drop out” 
from a program or league at any time prior to, during, or after a 
program “season”, the following refund procedure will occur:

Administrative programming costs will require a portion of the program or 
league fee to remain within the SPCRD.

A)	Before program/league start
Any participant requesting to “drop out” from a SPCRD sponsored program 
before the start of practice or games will forfeit $10 from their 
registration fee.
Any team requesting to “drop out” from a SPCRD sponsored adult league before 
the start of league play will forfeit 25% of the team registration fee.
Any participant requesting to “drop out” from a SPCRD member sponsored 
program will forfeit the $5/$25 fee to the SPCRD.  The remaining amount from 
the individual program’s fee to be reimbursed is at the discretion of the 
member program.

B)	During program/league 
Any participant requesting to “drop out” from a SPCRD sponsored program 
during the program season will forfeit 50% of their registration fee.
Any team requesting to “drop out” from a SPCRD sponsored adult league during 
the season will forfeit 50% of the team registration fee.
Any participant requesting to “drop out” from a SPCRD member sponsored 
program will forfeit the $5/$25 fee to the SPCRD.  The remaining amount from 
the individual program’s fee to be reimbursed is at the discretion of the 
member program.

C)	After program/league ending
Any participant requesting to be refunded after a SPCRD sponsored program 
has 
been completed will forfeit 100% of their registration fee.
Any team requesting to be refunded in a SPCRD sponsored adult league after 
the season has been completed will forfeit 100% of the team registration fee.
Any participant requesting to “drop out” from a SPCRD member sponsored 
program will forfeit the $5/$25 fee to the SPCRD.  The remaining amount from 
the individual program’s fee to be reimbursed is at the discretion of the 
member program.

Scheduling Policy

In the event an adult or youth recreation program or group is not a member 
of 
the Sauk Prairie Community Recreation Department, but would like to use and 
schedule sites/events in the Sauk Prairie area, it is necessary to use the 
SPCRD for this purpose.

Based on lack of membership, there are no fees paid by the program or group 
towards the use of the SPCRD services.  In turn, the following will occur 
with regards to scheduling sites/events or any other details that may 
involve 
the SPCRD:

A)Communications
1) Publication on the SPCRD website or through brochures/handouts will be 
permitted, with contact information (phone, email, etc) directed to the 
outside program or group appointed person.

B)Scheduling
1) The Sauk Prairie School District will have first priority with regards to 
scheduling of common school ground sites used by the SPCRD.
2) SPCRD member adult and youth programs will have next priority with 
regards 
to scheduling of school district ground sites and/or public sites.
3) Outside programs or groups not members* of the SPCRD will have last 
priority with regards to scheduling of SP School District ground sites 
and/or 
public sites.

C)“Bumping” or Scheduling Changes
1) A SP School District or a SPCRD member program will reserve the right, if 
so necessary, to “bump” nonmember programs or groups from a scheduled event, 
excluding such events as a contest or game with another community.
2) The SPCRD will attempt to communicate in a timely fashion, 
regarding “bumping” of a nonmember program, but cannot guarantee well in 
advance notice of changes.

*Bases on a first come first serve basis amongst nonmember programs or 
groups.

Late Registration Policy

In the event an youth individual, or an adult team requests to register for 
a 
SPCRD program or league at any time after an announced deadline for 
registration, the following late fee procedure will occur concerning the 
SPCRD:

Administrative programming costs will require an additional cost to the 
program or league fee for the SPCRD.

A)	SPCRD Youth Program
A late registration fee of $5 per individual for a youth program will be 
added to the original program fee for any person registering after the 
announced registration deadline.

B)	SPCRD Adult League
A late registration fee of $15 per team for an adult league team will be 
added to the original league fee for any team registering after the 
announced 
registration deadline.

C)	“Absolute Deadline” Per Program
Each individual program can determine an “absolute deadline” in coordination 
with the recreation director.  Once that deadline is established, on a per 
program basis, and has been reached, no participants may register for that 
particular program through the SPCRD.

D)	Additional Program Late Fees
A late registration fee, on a per program basis, may be developed in advance 
to the registration period by each individual program, above and beyond the 
SPCRD late fee language stated in A and B above.
